Privacy Policy

This policy covers swpppdesk.com. SWPPP Desk is a brand of Vertexium Environmental Solutions LLC ("we"). Contact: [email protected]. We are based in Krugerville, Texas. We serve customers in the United States only.
1. What we collect
Checkout. Stripe, our payment processor, collects your name, email and billing details. Card numbers go to Stripe, not to us. We receive the checkout reference, your email and the payment status.
Site check. Before checkout we record your answers to the site check (plan, state, acreage, any state limit you confirm, and the scope questions), the time you agreed to the Terms and Privacy Policy, the terms version, a one-way hash of your IP address, your browser type and your country as reported by our host. We keep this with your order as the record of what you confirmed before paying.
Intake form. What you enter at /start/: checkout email, operator legal name, contact name, phone (optional), operator role, site name, address, county and coordinates, acreage, dates, construction sequence, soils, receiving water, MS4 operator, BMPs, support activities, dewatering, subcontractors, inspector, scope answers, acknowledgements and notes.
Files. Drawings and documents you upload.
Technical data. When you send the intake form we record the time and the country your connection came from, as reported by our host. Our host, Cloudflare, keeps basic server and network logs (such as IP address, browser type and pages requested) to run and protect the site.
Email. Messages you send to any swpppdesk.com address, and our replies.
Funnel measurement. To learn which of our own channels bring orders (for example a search result, a newsletter link, a referral code or a postcard short link at swpppdesk.com/p/...), we keep a random visitor ID and the first and latest campaign tag you arrived with (such as utm_source, a short code or a referral code) in first-party cookies. With them we record page-view steps on swpppdesk.com (visit, plan page view, site check passed, checkout started, payment, intake completed, delivered), linked to your order through the checkout reference. We store this in our own database at Cloudflare. We do not share it, sell it or use it for advertising, and we do not combine it with data from other sites. For repeat-order counting we keep a one-way hash of your checkout email, not the email itself.
Please do not send Social Security numbers, health information or bank or card numbers in uploads or emails.
2. How we use it
To check your site for scope, prepare and deliver your plan, make revisions, write to you about your order, take payment, keep business and tax records, and protect the service from abuse and fraud.
We do not sell your personal information. We do not share it for targeted advertising. We do not use it for advertising.
3. Who processes it for us

These providers work for us under their own terms and may store data in the United States or other countries. We may also disclose information when the law requires it, to protect our rights, or as part of a sale or reorganization of the business.
4. How long we keep it
We keep order records, intake answers, uploads and the delivered plan for 5 years after delivery. Permits often require operators to keep the SWPPP for years after coverage ends, and you may ask us for a copy. Payment and tax records are kept as tax law requires. Cloudflare keeps server logs on its own schedule. You can ask us to delete your uploads and intake answers sooner. We will, except for records we must keep by law or to handle a dispute.
5. Your requests
Email [email protected] to ask for access to, a copy of, correction of, or deletion of your personal information. We answer in writing, normally within 10 business days and always within 45 days. We may need to confirm who you are. If we say no, we tell you why, and you can appeal by replying; we answer the appeal in writing within 60 days. We do not treat you differently for making a request.
6. Which privacy laws apply
We are a small US business. We do not meet the thresholds of the California Consumer Privacy Act. Under the Texas Data Privacy and Security Act we are a small business, and we do not sell sensitive data. We offer the rights in section 5 to everyone anyway.
7. Newsletter
If you sign up, we keep your email, the state you choose (optional), the page and form you signed up from, the consent text you saw, the time, your browser type and a one-way hash of your IP address. The newsletter goes only to people who confirm by email. Every issue will carry our postal address and a one-click unsubscribe link. We will update this policy, including the email service used, before the first issue.
8. Security
Data moves over encrypted connections. Files are kept in a private storage bucket that is not open to the public. No method is perfectly secure. If a breach affects your personal information, we will tell you as the law requires.
9. Children
The service is for businesses and adults. We do not knowingly collect information from children under 13.
10. Cookies
We use no third-party analytics, advertising or tracking tools. The checkout site check sets two strictly necessary cookies so that checkout and the intake form know you passed it. We also measure our own sales funnel first-party, as described in section 1 under Funnel measurement. See the Cookie Notice .
11. Changes
We post changes here with a new date.
